EMAIL HEADERMost business letters and emails benefit from a heading, as it introduces the topic and saves having to write a long first sentence to cover the same ground. The heading (usually underlined or in bold type) might even run to several lines:

Curtis Brothers Ltd
Lease Agreement No. 232-343-7583
Goods: Touchtone Telephone System
Installation address: Room 101, Pillar House, 4 Tanner St, Central

Whether the heading is short or long, don’t keep referring to it with such phrases as ‘with reference to the above-mentioned equipment’ ‘regarding the above-numbered agreement’, ‘the above matter’ and ‘in connection with the aforementioned’. Let’s say you are selling property and someone has phoned for details of a house.

Instead of writing:

Dear Ms Chang

Flat 1806, Block N, South Horizons

I refer to your enquiry yesterday in relation to the above-mentioned property and enclose details as requested….

it is better to write:

Dear Ms Chang

Flat 1806, Block N, South Horizons

I refer to your enquiry yesterday and enclose details of the property as requested…

or

Thank you for your enquiry yesterday about this property; details are enclosed…

or

Your enquiry about this property is much appreciated. I am pleased to enclose details.
